Donor engagement and events coordinator

Working at Nuzzles & Co. will ignite your passion for animal rescue and adoption with diverse, forward-thinking people! You will join a development department of three, overseen by the development director and development manager.

Your role will be two-prong in that you assist development with forward-facing donor coordination and behind-the-scenes donor database management. And, in addition, you will develop, lead, and ensure the success of multiple events for fundraising and adoptions. Animals and events go hand-in-hand and require that you work closely with the Rescue Ranch operations and Adoption Center teams for animal placement to streamline the availability of animals and meet overall organizational goals while planning and conducting events. Other responsibilities as assigned by the DM and DD for community events and fundraising activities will include logistical planning, donation procurement, event execution, and other tasks. The position will also be responsible for entering donor data and acknowledgments into our donor management system.

 

RESPONSIBILITIES

• Coordination of third-party events, including plan/schedule, and execution and market on social media third-party events (adoption oriented or tabling/community outreach oriented)

• Calendar and post social media for fundraising and third party events

• Schedule, plan, and execute Nuzzles Snuggle Lounges as assigned by the development manager or director.

• Scheduling and planning refers to the following activities:

   · A timely response to all requests for Sponsor/Partner events and Snuggle Lounges

   · Coordination weekly and day prior to events with Rescue Ranch/Adoption Center managers to ensure animal availability.

   · Calendaring/scheduling events on the Development/Master Google Calendar and addressing events in the weekly development meeting.

   · Volgistics volunteer management platform used to enter shifts, volunteers of upcoming event opportunities and communication.

   · Work with Rescue Ranch management and staff for animal selection and check-out for adoption events.

   · Create/schedule pre-event social media posts and event pages where deemed appropriate for marketing in the weekly development meeting.

• Executing refers to the following activities:

   · Create checklist of vehicles and supplies needed and day-of loading and review punchlist with Rescue Ranch operations director for load-in/load-out

   · Coordinate with event volunteers for assistance (when necessary).

   · Lead for all adoption events with partners and third party vendors .

   · Liaison for Nuzzles and Co. Merchandise/Partner retail at events.

   · On-site set-up/tear down

   · Unload company vehicles post-event and ensure cleanliness.

   · Post-event reporting and statistics (#adoptions, #retail sold, #volunteers) to analyze success/challenges.

   · You are the face who represents Nuzzles & Co. at all community/partner events, serving customers in a positive, proactive manner. You create a high standard of experience to be enjoyed by all involved including: site vendors, event hosts, potential adopters and the general public.

• Responsible for collecting all event donations, processing for donation entry for donor management database in a timely manner.

• Assemble and secure donations once per week and transfer from Rescue Ranch to Adoption Center for bookkeeper.

• Assist the DM and DD in the logistical planning, donation procurement, event execution of fundraising events as assigned. This includes but is not limited to responsibilities for:

   · Gala Auction

   · Live PC Give PC

   · Giving Tuesday

   · Annual Year-End Campaign

   · Fly Free Memorial

   · Casino Night

   · Program-Specific Campaigns


ADDITIONAL DUTIES AND RESPONSIBILITIES

• Treat all animals humanely and with compassion and concern, both on and off the job.

• Act as a role model for employees and volunteers and follow all policies, procedures, and protocols at all times.

• Weekend events are common and will be required to work – alternate day(s) off during the week is traded when this occurs.

• Other duties as assigned.

 

KNOWLEDGE, SKILLS AND ABILITIES

• Professional experience as an event coordinator, development/marketing assistant, or fundraising experience (or combination) of these is required.

• Above average writing ability for correspondence, social media and partner contracts and communications.

• Proficient with Social Media creation/posts, video, etc.

• Proficient in Google Drive, Mail, Sheets, Doc’s, or Microsoft Office suite of products.

• Proven success event history, with ability to work and manage a modest budget.

• Ability to present project outline and manage scheduling of priorities. Strong attention to detail and good time management skills.

• Outgoing personality, professional, positive, energetic, proactive, tactful, and diplomatic.

• Willingness to work a flexible schedule that includes long hours near/during events.

• Interest in education of dog/cat breeds and behavior, caregiving, and characteristics of animals.

• Demonstrate accurate, appropriate, clear and concise written and verbal communication skills with strong listening skills.

• Strong customer service skills and flexible and controlled emotional mindset required to handle all situations, including emergency, confidential, and emotional situations.

• Must have the initiative to resolve problems and seek answers independently.

• Must be able to work in a fast-paced environment and the ability to juggle multiple competing tasks and demands.

• May be exposed to emotional and/or stressed members of the public when finding homes for abused rescues, such as lost limbs, eyesight, etc.

• Occasionally you will be exposed to dead, injured, sick, unruly, vicious, and/or dangerous animals in addition to exposure to parasites and infectious diseases.

• Must be available and willing to work weekends, holidays, overtime, and attend mandatory training and meetings as determined, necessary or desirable to meet our business needs.

• Valid Utah Driver’s license with a clear driving record for at least one year prior.

 

EDUCATION AND EXPERIENCE

• Bachelor’s degree preferred.

• Proven experience with a non-profit as an events coordinator or development assistant is preferred.

• Experience working in animal welfare is preferred.

 

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

• Ability to spend extended periods of time outdoors in all weather conditions (including rain, heat and cold) at events.

• Ability to routinely lift 40-50 pounds.

• Ability to sit and view a computer screen for long periods of time.

• Work location: Rescue Ranch, Peoa, UT,

• Ability to stand for long periods of time while performing work requiring concentration and manual dexterity.

• Ability to work around all types of animals with basic animal handling skills.

• Lifting and handling animals of varying sizes and breeds, bending, stooping, and walking on a daily basis.

• Some travel required (mileage reimbursement available). Nuzzles vehicle available for use during events.
